Manager, Finance Shared Services | Intergen

JOB SUMMARY:
The role of the Shared Services Manager (SSM) is critical to ensuring the efficiency and effectiveness of the Finance Accounting department and will be instrumental in the successful design, implementation, transition and sustainability of our future operating model.? SSM will be responsible for ensuring that the output from the Mexico region Shared Services team is accurate, timely and fit for purpose. SSM will effectively manage the core of the Finance function in terms of number of resources and transaction volume.

As the head of a large group of people, the SSM will be expected to ensure tasks and projects are allocated efficiently to ensure personal development, a high level of mentorship and guidance, identifying (and where appropriate scheduling) any technical or skills training requirements. The organization and coordination of this team will be critical to the success of not only the Shared Services team but the remainder of the finance and business strategy teams.

The SSM will be expected to have strong leadership and managerial skills. GAAP knowledge is preferable, however, the core of the SSM is more related to processes and systems than ensure timely and accurately delivery of information than sophisticated GAAP analysis.

JOB DIMENSIONS:

Supervision Received:? Supervising Controller

Supervision Exercised:? Treasury Associate, Accounts Payable Area and shared Tax and Accounting resources

Main Contacts:? This position structures and maintains relationships with outside contacts and internal clients at all levels. The main clients of the SS group will be the Supervising Controller; Project Controllers, Tax Manager and Corporate Accounting.

JOB RESPONSIBILITIES:

SHARED SERVICES GROUP MANAGEMENT

?????????????? Assess and define the team members of the Shared Services Team (SST)

?????????????? Set objectives and define development plans for direct report(s) in line with department objectives

?????????????? Day to day supervision of direct report(s) and workloads

?????????????? Assist and support in the assessment of impact of change challenge initiatives on the (SST).

?????????????? Team?s mentorship, leadership and motivation.

?????????????? Propose Key Performance Indicators to Mexico Management in order to implement tracking tool to measure success.

?????????????? Tracking performance vs. Service Level Agreements Key Performance Indicators (KPIs)

?????????????? Responsible for best practices research, recommendations, and implementation.

?????????????? Effectively coordinate with other members for the Finance function, the region and corporate to balance clients expectations with team?s resources and workloads.

DEVELOP AND MAINTAIN PROCESSES AND SYSTEMS TO SUPPORT TREASURY, ACCOUNTING, TAX AND FINANCE FUNCTIONS.

?????????????? The Shared Services Group will be responsible for transactional related processes that will serve as a basis for the Finance, Project Controllers and the Tax groups to perform their functions and activities.

?????????????? The Shared Services Group will also be responsible for the Treasury and A/P functions.

?????????????? Develop/implementation of control matrix

?????????????? Ensure controls underpinning the production of financial data are appropriately designed and operating effectively

?????????????? Maintain procedures and controls documentation

?????????????? Review, propose modifications and maintain Delegations of Authority (DOA) and ensure systems permissions are consistent with DOA

?????????????? Establish processes and controls for ensuring accuracy of? output from team

?????????????? Ensure compliance with Global policies

?????????????? Review of VAT returns and supporting work papers

?????????????? Responsibility for ensuring supplier invoicing is accurate

?????????????? Standardize working papers across all projects

?????????????? Provision of information to auditors

?????????????? Support PCs with information and reports for Business Cases

?????????????? Develop methodologies for standardizing data-collection and work processes, performing analyses, and developing conclusions and recommendations

?????????????? Tracking and measurement

TREASURY AND ACOUNTS PAYABLE

?????????????? Implementation and continuance of the Account Reconciliations Process.

?????????????? Measure effectiveness of the P2P process (propose methodology if need be).

?????????????? Support of the AP Automation Initiative.

?????????????? Manage systems access levels for finance team

?????????????? Develop and implementation of the Service Level Agreements , reports and? delivery of information schedule.

?????????????? Ensuring delivery of output in accordance with the defined listing of reports and (SLAs) relating to the transaction of the SST

?????????????? Management of service issues arising from the performance and delivery of activities completed by the SST to the Project Controllers (PCs) connection with Service Level Agreements (SLAs)

?????????????? 1st level? approval

?????????????? Review and approve payments to suppliers and expenses payments to employees (P2P process).

?????????????? Time management of the AP/Treasury teams

?????????????? Cash management and third party contract deliverables

?????????????? Manage accounts payable process to ensure deadlines are met

?????????????? Management of corporate card process

?????????????? Management of trade confirmations process

?????????????? Point of escalation for vendor queries

?????????????? Establish and operate a robust control process to ensure the accuracy of? ?settlement? activities to include:

  • Contract related settlements
  • System Operator & Regulatory related settlements
  • Trading related settlements

QUALIFICATIONS:

Education: Public Accounting Degree or equivalent, preferable.

Certificate/License: N/A

Knowledge:

  • Processes

  • JD Edwards system

  • Experience at a multi-national corporation or firm is preferable
